How sync works in additem.to

Your items move between your devices through your additem.to account, not through iCloud. This guide explains what you need, how to add a second device or the web app, what syncs, and what to check when items don't show up.

You don't need an account to use additem.to. Your items are stored on your phone. If you only use one device, that's all you need.

Sync is for people with more than one device. With Pro Cloud, the same inventory shows on your iPhone, your iPad and in a web browser. Change something on one, and the others get the change.

To make it work, sign in with the same Apple Account on every device, and have Pro Cloud on that account. The rest of this guide explains each part.

Sync is not iCloud

iCloud Backup saves the app's data with the rest of your phone backup. If you get a new phone and restore the backup, your items come back. That is the only thing iCloud does for additem.to.

iCloud Backup does not copy items from an iPhone to an iPad. Two devices with iCloud turned on do not share an inventory. Each one has its own.

Sync uses your additem.to account and our servers. It's part of Pro Cloud, and you need to be signed in on each device. iCloud settings have no effect on it.

What you need

Pro Cloud belongs to your account, not to one device. You don't pay again on your iPad. Sign in and it's there.

Set up a second device

Start with the device that has your items.

  1. Open Settings. Check you're signed in and your plan says Pro Cloud.
  2. Find your inventory in Settings. Cloud Sync should be on. It's on by default. Last Synced shows when sync last ran.
  3. If you've just subscribed, tap Sync Now and wait a moment. The first sync uploads everything.

Now the new device.

  1. Install additem.to.
  2. Open Settings and tap Sign in with Apple. Use the same Apple Account as your first device.
  3. Wait. Your inventories appear and the items download. Photos come after the items. If you have a lot of items, the Items list can look empty for a few seconds. Give it a moment.

After that, you don't need to do anything. Add an item on one device and it shows up on the other.

The web app

The web app is at app.additem.to. It shows the same inventories in a web browser. It shows what your devices have synced so far.

The easiest way to sign in is from your phone.

  1. On your phone, open Settings, then Link Web App.
  2. On your computer, open app.additem.to. It shows a QR code.
  3. Scan the QR code with your phone. The browser is now signed in to your account.

You can also sign in on the web with Continue with Apple. There's also a Continue with Google button. Don't use it if your phone uses Apple. Google gives us a different ID from Apple, so Google on the web and Apple on the phone are two different accounts, even with the same email address. The web one will be empty. If the web app is empty and your phone is full, this is almost always the reason.

What syncs

Everything in an inventory syncs: items, locations, categories, tags, custom fields and groups, item templates, kits, photos, history (check-ins, check-outs and quantity changes), loans, reminders, stocktakes and pick lists. If you delete something on one device, it's deleted on the others too.

Some settings stay on the device you set them on: list or grid view, your default filter, your export columns, and Local Only Mode. The customising guide lists which settings belong to the inventory and which belong to the device.

When sync runs

Sync runs by itself. It runs when you change something, when you open the app, and on a timer while the app is open. Sync Now in Settings runs it right away. Last Synced shows when it last finished.

If you're offline, the app keeps working. Your changes wait on the device and upload when you're back online.

If you change the same item on two devices before they sync, the change that reaches our servers last is the one that's kept. Finish your edit on one device before you pick up the other.

You can turn off Auto-Sync for an inventory and run Sync Now yourself. Turning off Cloud Sync stops that inventory syncing at all. If one inventory syncs and another doesn't, check this switch first.

Sync and sharing are different

Sync is your own inventory on your own devices. Sharing gives another person access to your inventory. You send them an invite code from the inventory's settings. They enter it under Follow Shared Inventory, and the inventory appears in their app.

You can share an inventory with up to five people. Sharing needs Pro Cloud on the owner's account. The other people don't need it. A free account can follow a shared inventory and keep it in sync.

When items aren't syncing

Check these in order.

  1. Same account on both devices? Open Settings on each device. Both must be signed in with the same Apple Account. This is the most common cause. A device that's not signed in looks the same as a device where sync is broken.
  2. Is Pro Cloud active? Settings shows your current plan. When a trial or subscription ends, sync stops. Each device keeps the items it has.
  3. Is Cloud Sync on? In Settings, under the inventory, check the Cloud Sync switch. Then tap Sync Now.
  4. Is the device online? Sync needs an internet connection. Local Only Mode, under Privacy, blocks the app from reaching our servers and hides the sync rows.
  5. Still not working? Go to Settings, then Advanced, then Force Resync All Data. This sends everything on the device again and downloads everything from the server. If that doesn't help, contact us and tell us what each device shows.

additem.to is free on iPhone, and you don't need an account. Sync between your devices and the web app is part of Pro Cloud.
